Using the Chat

Starting the Chat

The chat is a very useful tool that everyone in the meeting can use. You can use the chat e.g. for communicating with participants that cannot use their microphones, or send private messages to specific people. Both the host and the participants can open the chat by clicking on the button "Chat" in the meeting toolbar:

Functions in the Chat

The chat opens in a new window and can be used for both communicating and sharing files. The different functions in the chat are described in more detail down below:

1. Send Messages

Do like this to send a message in the chat:

1. Type your message in this area.

2. Press "Enter" on your keyboard to send, and the message will become visible in the chat feed.

If you have the chat closed and a new message is sent, this will be indicated as a red dot by the chat icon in the meeting toolbar. The number in the red dot represents how many messages that have been sent during the time that the chat has been closed. The red dot will disappear when you open the chat.

2. Specify Recipient

You can send messages that everyone can read, but you can also send private messages to individual participants:

1. You specify to whom you want to send a message by using the drop-down menu to the right of "To:".

2. If you want to send a message that everyone can read, select the alternative "Everyone in Meeting". If you instead want to send a private message to a certain individual that only that person can read, you select that person’s name in the list.

3. In the chat feed you can see if a message is sent for everyone to read (Everyone) or privately (Direct Message).

3. Share Files

Both the host and the participants in the meeting can use the chat to share files. Do like this to share a file:

1. Click on the button "File".

2. A square comes up, and you select the source where the file you want to share is stored. Locate the file and click on it to share it.

3. The file appears in the chat feed. The other participants in the meeting can open the file by clicking on it.

4. Emojis

Use this button to choose from a huge variety of emojis to send in the chat.

5. Chat Settings

When you are the host or co-host of a meeting, there are a few chat settings that you can apply. You reach the settings by clicking on the symbol of three dots. Here is a short summary of the different settings:

This Alternative Is Available to the Host, Co-host and the Participants: 

1. Save Chat - By clicking on this alternative, you can save the chat as a text file on your own computer. If you do not save the chat, everything that has been written disappears when the meeting has ended. See more information further down on this page about how to activate the setting that automatically saves the chat.

The Alternatives underneath "Participant Can Chat with:" Are Only Available to the Host and Co-host:

2. No One - If you select this alternative, the participants will not be able to use the chat. 

3. Host and co-hosts - This alternative allows the participants to only send private messages to the host/co-host. Hence, the participants can neither send private messages to each other, nor send messages that are visible to everyone.

4. Everyone - If you activate this alternative, the participants can send messages that are visible to everyone, but cannot send private messages to other participants. However, participants can still send private messages to the host/co-host.

5. Everyone and anyone directly - This alternative allows the participants to send messages that are visible to everyone, and send private messages both to other participants and the host/co-host.

Things to Have in Mind Using the Chat

If You Are Sending Important Information in the Chat

It is important to remember that participants can only see chat messages that are sent after they have joined the meeting. Hence, it is wise to send important messages several times in the chat if new participants join the meeting.

Messages that Are Not Visible to the Host and Co-host

Private messages that are sent from one participant to another are not visible to the host and co-hosts in the chat feed. If the host/co-host saves the chat, these private messages will not be visible in the created text file.

Setting to Save the Chat Automatically

In your personal settings, it is possible to arrange so that the meeting chat is saved automatically. Please note that this setting will affect all your meetings!

Log in to https://lu-se.zoom.us/ Links to an external site. and do the following:

1. Click on "Settings" in the left menu.

2. Go to the tab "Meeting".

3. Click on "In Meeting (Basic)" in the menu underneath.

4. Scroll down until you find the setting "Meeting chat - Auto-save" and activate it.
