Sharing Screens

Sharing screens is a very useful function in Zoom. By using the function "Share Screen", you can show everything you have opened on your computer - e.g. a presentation or something you draw.

You see the function "Share Screen" as a green button in the middle of the meeting toolbar. If you are the host of the meeting, no one else can share screen at the same time as you are. You also have the possibility of adjusting your screen sharing options in your personal settings Links to an external site. in LU Zoom.

Start the Screen Sharing

When you click on the button "Share Screen" a new window opens where you select which window, program or document you want to share. Take notice that you first must open the window/program/document that you want to share before you click on "Share Screen", in order to see it as a sharing option. 

Choose from the Following Sharing Options:

1. Screen - select this alternative if you want to share your own computer screen. If you have several screens active, select the one you intend to share.

2. Whiteboard - if you prefer to draw and explain. Read more about this function on the page Use the Whiteboard in Zoom.

3. Wed browser - select this option to share your web browser.

4. Presentations and other programs/documents you want to show.

5. Share sound - if you want to share something that contains sound, for instance a video clip, you must check this box in order for the participants being able to hear the sound during the screen sharing.

6. When you have selected the option you want to share, click on "Share" to start sharing your screen.

When Sharing Screen and How to Stop

The window that you have selected will come up automatically when you click on "Share". The green frame around the window indicates that the screen sharing is ongoing (see the picture below).

When you are sharing your screen, a meeting toolbar will be displayed. Here you find different functions, which you use to control both the screen sharing and the Zoom meeting as a whole. The most fundamental functions to be familiar with are:

1. The green banner underneath the meeting toolbar shows who is sharing screen.

2. If you are sharing screen and want to share something new, click on the button "New Share". The window with the sharing options comes up as described in the paragraph "Start the screen sharing". Select the new window you want to share, and then click on the button "Share". 

3. By clicking on "Pause Share" you can temporarily pause the screen sharing, which is indicated by the green banner underneath the meeting toolbar turning orange (A). When you have paused the screen sharing the participants’ screens will "freeze", meaning that you can change window or move to the next slide in a PowerPoint without the participants noticing. Click on the button "Resume Share" to actively sharing your screen again (B).

4. If you want to draw or write on the material you are sharing, use the function "Annotate". You can read more about this function on the page Use the Whiteboard in Zoom.

5. To stop sharing your screen, click on "Stop Share".
