If you want to create a secure meeting with participants who do not have LU-credentials, the best course of action is to set a password for your meeting.

Please remember to not post your address to your meeting in a public space

To set a password on your Zoom meeting, follow the steps below.

Log in to https://lu-se.zoom.us/ and click on the sign in button.

Go to the Meetings option in the column to the left, and select the Upcoming Meetings tab. Click on Schedule a New Meeting.

Fill in the topic or description as you normally would do. (For a reminder on how this is done see this article.) Scroll down to the section titled Meeting password. Select the option which says Require meeting password. A password number will be automatically generated.

If you are using a waiting room for the meeting as well, students and employees at LU - that have logged in correctly - will bypass the waiting room unless your personal settings override this preset.

Finding Meeting Information

After you have finished preparing your meeting, click the save button. After you have saved your meeting, you will be taken to a page which offers, among other things, a variety of different methods for inviting participants to your Zoom meeting. To find these options, scroll down to the section Invite Attendees.

The link Join URL has the password embedded. To invite participants this way will mean that they simply click the button, and then will be taken to the meeting without having to enter the password themselves.

The link Copy the invitation does not have the password embedded. Instead, with this option, the participants will be sent an invitation where both link and password can be found, in order to login to the meeting themselves.

What is the advantage of an embedded password?

Embedded password - but what difference does that really make? Well, with the embedded password you are able to share the link with your participants as it is, and they do not have to enter the code manually. However, the real benefit with this is method is that external participants are not invited to the meeting, e.g. internet trolls that try to generate random Zoom-numbers in order to enter meetings are less likely to randomly generate your password.

Share Zoom number and code via client

Your participants may also join via the Zoom client by using the 9-digit number (Meeting ID) which is automatically generated for every Zoom meeting. You can send out this meeting ID and the code with the function Copy the invitation (see image above). In this invitation you will find both the link with the embedded password (which you already have access to) and the Meeting ID with the 9-digit number and the password code that your participant needs to log in.

What your Participants will see/receive.

The participant will open their Zoom client, and must click on the button Join. A window will then open where the participant can enter the 9-digit number and click the Join button again.

When a meeting is secured with a password code a new popup window will open. Please enter the meeting password (1) and then for the third time press the button Join (2).
