Security When Hosting a Meeting

Zoom has developed several in-meeting security functions to make it easier for you to make your meeting safe. These security functions can be used to protect your meeting, e.g. from "Zoombombing", which is when an uninvited participant joins the meeting sharing unwanted images or writing indecent comments in the chat.

All in-meeting security functions are found using the button "Security" in the meeting toolbar. This button is only visible for the host and co-host.

N.B. The number of security functions available may vary depending on which settings you have activated for your meeting.

Manage Participants Entering the Meeting 

1. Lock Meeting

By clicking on the alternative "Lock Meeting", new participants cannot join the meeting (activate this function after all participants have joined). You also prevent the participants in your meeting from inviting new ones.

2. Enable Waiting Room

Activate the function "Enable Waiting Room" if you want to let the participants into the meeting one at the time. Begin with clicking on "Participants" in the meeting toolbar, and then on the button "Admit" allowing the participant into the meeting. 3. Hide Profile Pictures

If you choose the alternative "Hide Profile Pictures", the profile pictures of both the host and the participants will be hidden, and only the names will show.

Decide What the Participants Are Allowed to Do

4. Share Screen

Choose "Share Screen" if you want to allow the participants to share their own computer screens. Hence, if you DO NOT want the participants to be able to do so, make sure that this alternative is deactivated.

5. Chat

Click on "Chat" to allow the participants to use the chat.

6. Rename Themselves

By activating the alternative "Rename Themselves", the participants will be able to change their names in the meeting.

7. Unmute Themselves

Choose "Unmute Themselves" to allow the participants to turn on their microphones without the permission of the host.

8. Start Video

Allow the participants to turn on their cameras by choosing the option "Start Video".

9. Annotate on Shared Content

If you activate "Annotate on Shared Content", it will be possible for the participants to draw and write on material shared via screen sharing.

Remove Participants and Suspend Participant Activities

10. Remove Participant

If you need to remove a participant from your meeting, you can do so by clicking on the alternative "Remove Participant".

N.B. A participant that has been removed cannot re-join the meeting. If you want to enable removed participants to re-join the meeting, you must activate the setting "Allow removed participants to rejoin" before you start the meeting. You find this setting by following these steps:

1. Log in to https://lu-se.zoom.us/ Links to an external site. and click on "Settings" in the left menu.

2. Click on the tab called "Meeting".

3. Go to the section "In Meeting (Basic)".

4. Locate and activate the setting "Allow removed participants to rejoin".

11. Suspend Participant Activities

By clicking on "Suspend Participant Activities" you will shut down all functionalities for the participants in the meeting. For instance, the participants’ cameras and microphones will be turned off, they will not be able to share screen or use the chat, and their profile pictures will be hidden.
