Meeting with External Participants - Look at Your Settings!

If you are planning to host a meeting with external participants, i.e. participants that are not students or teachers at Lund University with LUCAT-id, you may need to adjust your settings. Employees at Swedish authorities, health care institutions and certain companies are not allowed to download the Zoom client to their computers. In order for these participants to join your meeting, you have to turn off the setting "Only authenticated users can join meetings from Web client".

Log in to https://lu-se.zoom.us/ Links to an external site. and do the following:

1. Click on "Settings" in the left menu.

2. Go to the tab "Meeting".

3. Click on the section "Security" in the menu underneath.

4. Scroll down until you find the setting "Only authenticated users can join meetings from Web client" and turn it off.

When you schedule your meeting, make sure that the alternative "Require authentication to join" in the section "Security" is turned off.

If you choose to use a Waiting Room in order to improve the security in the meeting, the default setting will put all external participants in the waiting room, but those that have logged in to LU Zoom will enter the meeting directly. This option is only meaningful if you have the possibility (and time) to monitor and to admit the participants that are in the waiting room. Using a passcode is often a better alternative!
