The application process – step by step
Applying for Erasmus funding is actually quite simple. Step-by-step instructions can be found below.
Whether you are applying for Erasmus+ staff training or Erasmus+ teaching staff mobility, the External Relations Office has web pages that can help you.
What to do – step by step
- Click and open the database Links to an external site..
- Register and create a username and password.
- Log in.
- Select “Make a new application”. Choose between Erasmus+ teaching staff assignment (STA) and Erasmus+ staff training (STT).
- General information: Enter your personal particulars and your department/unit at the HT Faculties. Under “Contact”, enter your head of department (who needs to sign your application).
- Proposed mobility programme: Here, you enter the dates you intend to travel, whether you are applying for compensation for extra travel days, etc. If you want to do what is known as “Blended Mobility” (a combined virtual and physical exchange), state that here. This is also where you answer the four questions that form the core of your application:
- Overall objectives of the mobility
- Added value of the mobility (in the context of the modernisation and internationalisation of the institutions involved
- Activities to be carried out
- Expected outcomes and impact (e.g. on the professional development of the staff member and on both institutions)
In question 1, you very briefly state the purpose of your trip and in question 2 you indicate what your mobility could mean for the sending and receiving universities. Question 3 gives you the opportunity to briefly describe what you intend to do during your stay abroad/visit to the host university or organisation, and question 4 asks you to describe what you think you will take with you after your stay. This should relate to your employment at LU.
You do not need to write a lot. Four or five sentences per question is plenty.
- The receiving institution/enterprise: Enter the contact details of your host here. If you are visiting a university, you need to enter the university's Erasmus code (for example, Lund University's code is S LUND01). - Additional funding: Indicate here whether you have a functional variation that requires adaptation during your stay abroad (extra funding can be applied for) and whether you intend to travel sustainably to your destination (doing so gives you a larger travel grant).
- If you are applying for Erasmus+ teaching staff mobility (STA), there will be additional questions about the number of students, the ISCED level (Bachelor's, Master's, doctoral), etc. You need to perform teaching activities for at least eight (clock) hours per week. When applying for teaching staff mobility, you can choose instead to apply for a combination of teaching (four hours per week) and job shadowing.
- You submit your application (Submit). Want to change something? Click on the application and select “Edit”.
- You will receive an email with confirmation and information, which is generated automatically.
- A new view will then open that looks like this:
- Select “Mobility Agreement”, and follow the instructions. The document needs to be signed by you, your head of department and your host at the host university/organisation. A scanned version is fine. Upload the signed document.
- Once an administrator at External Relations has approved the document, you will receive an invitation to print and sign the Grant Agreement. You then need to upload this document to the database as well. Once it has been signed by the administrator, your application for Erasmus funding is approved!
